Publishing an announcement for a service or the whole organization, scheduling it, pinning it and asking for a read receipt.

The Announcements module (Department group) replaces pinned messages lost in a channel: a changed procedure, a training session, a reminder. An announcement targets one service or the whole organization. The latest ones also show on the home page.

The announcements feed

At the top of the module, the Scope selector picks the feed: one of your services (its short name), or the Whole organization. It opens on your current service. Each feed is separate: organization announcements don’t mix with a service’s.

The feed shows Published announcements, Pinned ones in a section of their own, first. Each announcement shows its author, its publishing date, its expiry if any and the “edited” mention if it changed. The feed shows a limited number of announcements, with their count; Show more loads the next ones. An announcement that asks for a read receipt shows To read and the I’ve read it button; once confirmed, it shows “Read on …”. Organization announcements are visible to any member who can read announcements in one of their services.

The Announcements card on the home page shows up to five announcements from your current service and the organization, pinned ones first, with To read for a pending read receipt. A click opens the announcement in a panel (the I’ve read it button included); See all announcements opens the module.

  1. Click New announcement.
  2. Choose the Recipients: one of the services where you can post, or the Whole organization. The field only shows if you have several choices; recipients can’t be changed afterwards.
  3. Write the Title and the Text. Simple formatting: # heading, - list, **bold**, *italic*; http(s) links become clickable. Preview shows the result.
  4. Optional: Images (up to 4; PNG, JPG or WebP, no GIF). Drag, paste or pick them; they are recompressed to WebP (1600 px at most) before upload. The arrows reorder them, the bin removes one.
  5. Publishing: Now, or Schedule for a date (one year ahead at most).
  6. Optional: an Expiry (the announcement leaves the feed on that date and moves to the expired ones), Request a read receipt, Pin at the top of the feed (only shown if you can pin for these recipients).
  7. Click Publish or Schedule.
A new announcement

On publishing, recipients get a notification (a thousand at most per announcement). If Discord is linked, the announcement can also be posted in a channel.

In the feed, an announcement’s images show under the text: a single one large, otherwise as a grid. A click opens the full-screen viewer (arrows, swipe on a phone, Esc to close). Editing an announcement lets you add, remove or reorder its images; each addition and each removal goes to the audit log (number of images before → after).

On Discord, the first image illustrates the announcement’s message: the bot attaches it to the message, hosted by Discord. No link to the MDT’s files is ever posted on Discord. If the image can’t be fetched, the message still goes out, without the image; removing an announcement’s images also removes them from the message.

The Published, Scheduled and Expired tabs (the last two if you can post in the chosen scope) and Deleted (with Announcements › Manage all announcements) find every announcement. On an announcement with a read receipt, See readers (preceded by the number of reads, “12 reads”) opens the list of who confirmed, and when (Announcements › See who read; the author sees it too). Edit changes the title, text, images, read receipt, expiry and, while it isn’t out yet, the date of a scheduled announcement (the announcement is marked “edited”); Pin / Unpin (Announcements › Pin); Delete (hold down) moves it to Deleted, where Restore brings it back. Your own announcements are managed with Announcements › Post in the service; others’ require Announcements › Manage all announcements.

A button your rights don’t allow stays visible but locked, with a padlock and the help “Restricted: …” (see Permissions).
