Members and invites

Bring your team in and give everyone a role, a rank and a callsign.

People join your organization through an invite link. From then on, two notions combine:

  • their organization role: Owner, Administrator or Member. Administrators configure the organization and see every service;
  • their assignments: in each service they work in, a rank (which grants their permissions) and a callsign (shown everywhere, e.g. 99). Callsigns are always on in a police service; elsewhere they’re turned on per service (the Callsigns switch, see Settings and services).

  1. Open Settings › Invites (or click Invite from the member list or a service’s roster).
  2. Under New link, choose:
    • the Service the person lands in; an administrator can also pick No service (organization only, their default choice);
    • the Starting rank, or No rank: the person then joins the organization unassigned. Unless you are an administrator, only ranks below yours are offered;
    • the number of Uses: 1, 5, 10, 25 or 100, or Unlimited (default);
    • the Expiry: 1, 7 (default), 30 or 90 days, or Never.
  3. Click Create link. The “Your link is ready” box shows the link: Copy it and share it (on your Discord, for example). Create another link starts from a blank form.

The list below splits Active and Ended links (Expired, Used up, Revoked), newest first, with their service and starting rank (“Organization only” without a service), their uses (“2 / 5 uses”) and expiry. Each active link has a button to copy it again; to cut it off, hold Revoke down. The list is paginated (Show more) and tells you how many links are shown.

Whoever opens the link first signs in with Discord if needed (see Signing in). They see the organization’s name, in its colors, and the service they land in, if any. They click Join and arrive on the organization’s home page.

  • If they already belong to the organization, the card says so and offers Open.
  • An expired, revoked or used-up link shows “Invitation not found”: ask them to request a new one.
  • A member removed from the organization can’t come back through a link (“You were removed from this organization”): only an administrator lifts the exclusion, by restoring them from Archives.
  • A suspended member can’t reactivate themselves through a link.

Without being an administrator, you create links with Roster › Invite (to a rank below yours) and cut them off with Roster › Revoke an invite, in the services where you have these permissions.

Settings › Members lists every account in the organization, with their assignments. Search by name or callsign, and filter by Service (including No service), Role and Status.

The list shows 25 members at a time: Show more loads the next ones, and the counter (“25 members shown”) tells you where you are. Search and filters apply to the whole organization, not only to the members already loaded.

  • Organization role: Owner, Administrator or Member. Only an owner can make someone owner or change an owner’s role. The organization always keeps at least one owner: the last one can’t be demoted.
  • Assignments: for each service, pick the Rank and Callsign (for example 99, up to 20 characters, if the service uses callsigns), then Save; hold Remove from service down to drop the assignment. Assign to … adds the member to another service: pick their rank (and callsign), then Assign.
  • Access: hold Suspend down to cut access without erasing anything: a suspended member can no longer open the organization. Reactivate restores it. You can’t suspend your own account, and an administrator can’t suspend an owner.
  • Remove from organization: hold Remove down. The member loses access and assignments; they can’t come back with an invite, only an administrator can restore them from Archives. You can’t remove your own account or an owner: demote them first.

Every change (role, assignment, suspension, removal) is written to the audit log.

Members on a phone

The Roster module (Staff group in the pill) shows the current service’s members, from the highest rank to the lowest, with their callsign, their seniority in the service and, when relevant, the Away badge. It is open to members whose rank has Roster › See the roster. Like the member list, it shows 25 members at a time, with Show more and a search by name or callsign.

Depending on their permissions, a manager can:

  • Invite straight into the service (Roster › Invite): the “Invite to …” panel holds the link form (service already picked) and that service’s links;
  • open a member (Manage …) to change their rank and callsign (Roster › Assign and change rank), or remove them from the service (Roster › Remove from the service).

A member’s panel, opened from the roster, also shows, depending on the service’s modules and your permissions: their Duty hours (Duty module, Duty › See the team’s hours and a roster management permission), their Leave, Sanctions and Summons (each with the permission to see the service’s; on your own panel, you always see yours).

Without the permission, the button stays visible but locked, with a padlock and the help “Restricted: …”.

Every member shows up with their profile photo: hover it (or tap it on a phone) to open their profile card (motto, phone, duty status, unit…).

The owner is not assigned to any service by default. An administrator assigns themselves in one step with Assign me, at the top of the Roster or in the account menu: they pick the service, the rank and, if the service uses them, their callsign. Once assigned, the button reads Change my assignment. Every assignment is written to the audit log (rank and callsign, before → after).
