Discipline and summons
Sanction types, the minimum rank to sanction alone, proposals, suspensions and summons.
Two modules of the Staff group handle a service’s discipline:
- Discipline: warnings, reprimands, suspensions, demotions;
- Summons: meetings and appointments, with everyone’s attendance.
One rule applies to both: you never sanction or summon someone of equal or higher rank. Forms only list lower-ranked members, and an organization administrator can’t be sanctioned.

Each card shows the member, the type (with its colour, severity and effect), the status, the reason, “Issued by …” or “Proposed by …”, the end date, the rank change of a demotion, the evidence and, as the case may be, “Decision by …” or “Lifted by …”. Its Export button turns it into a PDF or an image (see PDF and image export). Lists show 20 sanctions at a time (Show more for the rest). Clicking a notification opens the sanction concerned.
Sanction types
Section titled “Sanction types”Before issuing sanctions, the service defines its types, in the Types tab (Discipline › Set up types). As long as there are none, the Sanction button doesn’t show. Add starter types creates Verbal warning, Written warning, Reprimand, Suspension and Demotion in one go, which you then adapt; New type creates one from scratch. Each type has:
- a Name (60 characters at most) and a Colour;
- a Severity: Minor, Moderate, Serious or Very serious;
- an Effect:

- a Minimum rank to apply alone: from that rank up, a supervisor with Discipline › Apply a sanction applies this type on their own. Below it, they can only propose it (Discipline › Propose a sanction). Any supervisor who can sanction removes the threshold. If the chosen rank is deleted later, the type shows “Deleted rank: leadership only” and its sanctions go to leadership as proposals.
discipline-typesIn the list, Move up and Move down set the order of the types (the order of the Sanction form), Edit changes them and Archive (hold down) removes them. An archived type leaves sanctions already issued untouched. Thirty types at most per service.
In the same tab, Members see their own sanctions decides whether everyone sees theirs (on their profile and in My sanctions). They never see proposals or rejections. Otherwise, My sanctions reads “This service doesn’t show sanctions to the member concerned”.
Issuing a sanction
Section titled “Issuing a sanction”- Click Sanction.
- Pick the Member (only members ranked below you are listed; search by name or callsign) and the Sanction type. The form tells you right away what will happen: “You can apply it yourself: it takes effect immediately”, or “It will be proposed for approval (rank … or above)”. Applying directly requires Discipline › Apply a sanction and a rank at least equal to the type’s minimum rank; otherwise, with Discipline › Propose a sanction, the sanction goes in as a proposal.
- Write the Reason: the facts, the rule broken, the context.
- Depending on the effect: the End date (required for a suspension, 90 days at most; optional otherwise; for a suspension, the 1 day, 3 days and 7 days buttons fill it in one click) or the New rank (below the current one, recalled under the field) for a demotion.
- Add Evidence (photos) if you have any (eight at most).
- Click Apply the sanction or Propose the sanction.

Proposals
Section titled “Proposals”A proposal lands in the To approve tab of authorised supervisors (Discipline › Approve or reject, at least the type’s minimum rank and a rank above the member concerned), who get a notification. Nobody decides on their own proposal. They Approve it (it applies; for a duration, the countdown starts at approval) or Reject it. The author is told either way and can Withdraw my proposal while it’s pending.
Suspension
Section titled “Suspension”During a suspension, the member:
- loses access to the service: on opening it, they see Your access to this service is suspended, with the end date, type, reason and their summons;
- goes off duty (their shift ends) and can’t start a new one;
- keeps access to their other services, through the service switcher.
Access comes back on its own at the end date (a notification says so), or earlier if a supervisor Lifts the sanction (hold down): Discipline › Lift a sanction for a type their rank allows, Discipline › Lift any sanction for any sanction of a lower rank. A demotion stays in place even when lifted. If Discord is linked, a suspension role can be applied for the duration.
Following sanctions
Section titled “Following sanctions”Each sanction has a status: Proposed, Active, Expired, Lifted or Rejected. Archive (hold, Discipline › Archive a sanction) removes it from the lists; its live effects stop and archiving can be undone right after. The author of a pending proposal can always withdraw it themselves: on its card, the button reads Withdraw my proposal (hold down).
In the roster, a member’s profile shows a Sanctions block and a Summons block: to the member themselves, and to ranks with Discipline › See the service’s sanctions or Summons › See the service’s summons.
Summons
Section titled “Summons”The Summons module has three tabs: Upcoming and Past (with Summons › See the service’s summons or Manage all summons) and My summons (any member who opens the module).

- Fill in the Date and time (within the coming or the past year), the Place (“Captain’s office, briefing room…”) and the Subject (“Disciplinary meeting, follow-up…”).
- Add the people Summoned (twenty at most, ranked below you).
- Optional: a Linked sanction (optional), picked among the service’s 30 latest sanctions. This field only shows with Discipline › See the service’s sanctions.
- Click Summon: each person summoned gets a notification.
summons-newEach summons has a status: Scheduled, Held (once everyone’s attendance is recorded) or Cancelled. Edit changes the date, place, subject, the people summoned or the linked sanction: a change of date, place or subject notifies those summoned, and someone removed is told of the cancellation. Cancel (hold down) notifies everyone. After the meeting, record each person’s attendance (To record by default): Present, Absent or Excused. A summons’s Export button turns it into a PDF or an image. You always manage the summons you created; Summons › Take attendance lets you record attendance on any summons, and Summons › Manage all summons lets you edit, cancel or restore others’. Everyone summoned sees their summons and attendance in My summons, even without a permission on the module.

Everyone always sees what concerns them (their sanctions if the service allows it, their summons), without any permission. A button your rights don’t allow stays visible but locked, with a padlock and the help “Restricted: …”; see Permissions for details. Everything goes to the audit log.
